Terms of service

These terms cover the use of the Assessment ePortal of the Schools Division of Zambales. Using the portal means accepting them. They sit alongside the data privacy notice, which explains what is held and why.

Who may use it

• Teachers, school heads and staff of schools in this division, and personnel of the division office.
• Learners enrolled in those schools, for the parts of the portal intended for them.
• Others only where the division has granted an account for a stated purpose.

A new account is held until the division approves it. Approval is a check that the person is who they say they are and belongs where they say they belong; it is not automatic.

Your account

• An account belongs to one person. Do not share it, and do not use somebody else’s.
• Keep the password to yourself. If you think somebody else has it, change it and tell the division.
• What is done under your account is treated as done by you. That is the point of the activity log, and it protects you as much as it binds you.

Using it properly

The portal holds children’s assessment records. Most of what follows comes down to that.

• Look only at what your work requires. Curiosity is not a purpose.
• Do not copy learner or teacher personal information out of the portal into anything less protected — a spreadsheet on a personal drive, a messaging group, a public post. This follows DepEd Memorandum No. 151, s. 2020.
• Do not publish learner names, sections or results anywhere public without parental consent.
• Do not use assessment dashboards to rank, shame or penalise a school, a teacher or a learner.
• Do not attempt to reach records your role does not open, or to work around the roles.
• Do not upload anything unlawful, or anything that infringes somebody else’s copyright.

Work you author

Lesson plans, Budgets of Work and assessment items you write remain attributed to you. The division may use them within its schools for teaching, moderation and quality assurance, and may include them in division resources with attribution. Your professional development results are yours: a school head sees that development is happening, not a score.

Assessment integrity

• Do not disclose live assessment items outside the sitting they belong to.
• Proctoring signals recorded during a sitting are signals, not verdicts. A count of moments a learner looked away counts a phone ringing the same as anything else, and is never treated as proof of anything on its own.
• A sitting that has been taken is not edited afterwards. If something was wrong with it, that is recorded rather than erased.

Drafting help

The portal can draft lesson plans and assessment items with the help of a language model. What it produces is a draft. It can be wrong, it can be misaligned to the competency you asked for, and it is your professional judgement that decides whether it is used. Nothing generated this way should reach a learner unread.

Availability

The division runs this portal as a service to its schools and will keep it working as well as it reasonably can. It is not guaranteed to be available at every moment, and maintenance sometimes has to happen during working hours. Keep your own copy of anything you cannot afford to lose, particularly close to a deadline.

If something goes wrong

Report faults through the Technical Assistance module or to the division office. Say which page, what you pressed, and what happened instead; quote any error message, because it names which part failed. If you come across records you should not be able to see, stop, do not copy them, and tell the Data Protection Officer straight away — you will not be in trouble for reporting it.

Suspension

The division may suspend or withdraw access where these terms are broken, where an account appears compromised, or where somebody has left the service. Access is withdrawn; records are retained, because the record of what was taught and what was sat has to remain accurate.

Changes

These terms change as the portal does. Material changes will be announced on the portal. Last reviewed: add the date when this page is approved.

Governing law

These terms are governed by the laws of the Republic of the Philippines, and by the issuances of the Department of Education that apply to this division.
